Steps
Open Microsoft Word and click Blank document. Type your name, address, email and phone number at the top left, one line each.
Press Enter twice and add the date. Below it, type your manager's name, job title, company name and company address.
Add a blank line and open with a greeting such as Dear Ms Patel, followed by a comma or colon.
State the resignation in the first sentence. Name your job title and your last working day, matching the notice period in your contract.
Add one or two sentences thanking your manager for the opportunity. Keep it short and neutral, even if you are leaving on poor terms.
Offer to help with the handover. Mention training a colleague, finishing open tasks or writing a handover note before you go.
Close with Sincerely, then your full name on the next line. Leave three or four blank lines for a handwritten signature if you print it.
Select all the text and set the font to Calibri or Times New Roman at 11 or 12 point, with 1.15 line spacing and left alignment.
Run Review then Spelling & Grammar, then save with File then Save As as a.docx file. Export a PDF copy if you are sending it by email.
Tips and common mistakes
Check your contract or HR handbook before you write, so the last working day matches your notice period.
Keep the letter to one page and under about 200 words. A long letter invites argument.
Leave out complaints and reasons for leaving. Save those for the exit interview.
Send it to your manager and copy HR, then keep a copy for your own records.
Questions
How long should a resignation letter be?
Three or four short paragraphs on one page. Your details, the resignation itself, a thank you and a handover offer is enough.
Do I have to give a reason for leaving?
No. A plain letter without a reason is normal and safer. You can explain your reasons in the exit interview instead.
Should I print it or email it?
Email is common now, with a PDF attached or the text in the body. Print and sign it if your company asks for a signed copy.
