Steps
Open Outlook. In the desktop app, click File, then Options. In Outlook on the web or the new Outlook, click the Settings gear icon instead.
In the desktop app, choose Mail in the left column, then click Signatures. On the web, go to Mail, then Compose and reply.
Find the signature you want to change in the list and click it to select it. To start fresh, click New and type a name for it.
Edit the text in the box below. Use the toolbar to add bold, colours, links or a picture with the image button.
Use the New messages and Replies/forwards dropdowns to pick which signature appears by default in each case.
Click OK in the desktop app, or Save on the web, to store your changes.
Compose a new email and check the signature appears at the bottom, then close the draft without sending.
Tips and common mistakes
Classic Outlook for Windows stores signatures on that computer only, so set them again in Outlook on the web and on your phone.
Keep the signature short, around four to five lines, so it does not clutter long email threads.
If your formatting disappears, check that the signature is set to HTML rather than plain text.
Add the signature after you finish editing the text, because pasting formatted text can strip your layout.
Questions
Why is my signature not showing up in new emails?
Check that you picked it in the New messages dropdown and clicked OK or Save. Also confirm you are composing in HTML format rather than plain text.
Can I use a different signature for replies?
Yes. Set one signature in the New messages dropdown and another in the Replies/forwards dropdown so each type of email gets the right one.
How do I add a company logo to my signature?
Place your cursor in the signature box, click the image or picture button, and choose your logo file. Keep the image small so it loads quickly.
