Steps
Open Outlook and go to Settings, then Accounts, then Signatures. In classic Outlook for Windows, click File, then Options, then Mail, then Signatures.
Click New signature, give it a name such as Work or Personal, and confirm. The editor box opens so you can start typing.
Type your details on separate lines: full name, job title, company, phone number and email address. Keep it to four or five lines.
Place your cursor where the logo should sit and use the Insert picture button to upload your image file. Keep the image around 100 to 150 pixels wide.
Select your website or social text and use the link button to paste the full URL, so readers can click straight through.
Highlight the text and set a clean font such as Calibri or Arial at 10 to 12 points. Use one accent colour for your name only.
Scroll to Choose default signature and pick your new signature for New messages and for Replies and forwards. Click Save.
Compose a new email and check the signature appears, the logo loads and every link works. Send a test message to yourself.
To build one from a template, download a free Microsoft Word signature template, edit the text and images in Word, then select all, copy and paste it into the Outlook signature box.
Tips and common mistakes
Paste as plain text first if a copied signature looks broken, then reapply bold and links by hand.
Many email apps block images by default, so never put key contact details inside your logo.
Keep the whole signature under about five lines so it stays readable on phones.
If you use more than one email account, set a default signature for each one separately.
Questions
Will my signature show on my phone?
Outlook on iOS and Android uses the signature you set in the app itself. Open Settings in the mobile app and edit the signature there to match your desktop one.
Why is my logo not appearing for some people?
Some mail servers and clients block remote images until the reader clicks show images. Host the logo at a public link or keep the signature useful without it.
Can I have two different signatures?
Yes. Create both in the Signatures menu and choose which one is the default for new messages and which one is used for replies.
