Steps
Open Microsoft Outlook on your Mac and sign in to the account you want the signature on.
Click Outlook in the menu bar at the top of the screen, then choose Settings. On older versions the option is called Preferences.
In the Settings window, click Signatures to open the signature manager.
Click the plus (+) button to create a new signature, then type a name for it in the box.
Type your signature text in the pane on the right. Use the toolbar to add bold text, links, colours or a small logo image.
If you have more than one account, find Choose default signature and pick the account you want from the drop-down list.
Set the signature for New messages and for Replies/Forwards using the two drop-down menus. Do this for each account you use.
Close the Settings window. Outlook saves the signature automatically, so there is no Save button to click.
Test it by clicking New Email and checking the bottom of the message. Open a reply to confirm that signature also appears.
Tips and common mistakes
Keep the signature short with your name, role, phone number and one link. Long signatures look cluttered on phones.
If you paste text from Word or a web page, the formatting can break. Paste as plain text and rebuild it in Outlook.
Give each account its own signature name so you can tell work and personal sign-offs apart.
Images make the signature file bigger. Use a small logo and check how it looks on a phone.
Questions
Where do I find signatures in Outlook for Mac?
Open the Outlook menu and choose Settings, then click Signatures. On older versions, look under Preferences instead of Settings.
Why is my signature not showing on new emails?
Check that Choose default signature is set for the correct account under New messages. Also confirm you are composing from the account that has the signature assigned.
Can I add a logo or photo to my signature?
Yes. Place the cursor in the signature box and use Insert, then Picture, or paste a small image. Keep the file size low so emails load quickly.
