What you need
Steps
Open a blank workbook and add a sheet called Invoice. Set up cells for your business name, logo, invoice number, date and due date at the top.
Create a second sheet called Data with columns for customer name, address, item, description, quantity, unit price and tax rate.
On the Invoice sheet, build the line item table with columns for description, quantity, unit price and line total.
Enter a formula in the line total column that multiplies quantity by unit price, such as =C10*D10, and fill it down the rows.
Add a subtotal cell using =SUM() over the line totals, then a tax cell that multiplies subtotal by the tax rate, and a grand total that adds them.
Use a dropdown list from the Data sheet for the customer name, then pull the address with VLOOKUP or XLOOKUP so it fills in automatically.
Install the Scribe extension or add-in, click Capture, and walk through filling in one invoice from start to finish.
Edit the captured Scribe guide to remove clicks you do not need, add notes, and save it as a template you can share or repeat.
Tips and common mistakes
Lock the formula cells and protect the sheet so the totals cannot be overwritten by accident.
Use a table (Ctrl+T) on the Data sheet so lookups update when you add new customers or products.
Save the workbook as an Excel template (.xltx) so each new invoice starts clean.
Check the tax rate cell before sending an invoice, since a wrong rate changes the grand total.
Questions
Do I need Scribe to make the invoice work?
No. The formulas and dropdowns work on their own. Scribe only records and documents the steps so you or your team can repeat them.
Can I use this template for several customers?
Yes. Keep all customers on the Data sheet and pick the name from the dropdown on the Invoice sheet to fill in their details.
How do I turn the invoice into a PDF?
Use File, Save As or Export and choose PDF, or print to PDF after setting the print area to the invoice range.
