Steps
Open Outlook with the same work or school account you use in Teams. The shared account is what lets the two apps stay in sync.
In Outlook on the web or new Outlook, go to Settings, then Mail, then Automatic replies. In classic Outlook for Windows, open File and choose Automatic Replies.
Switch automatic replies on. Set a start and end date and time if you only want it running for a set period.
Type your message in the box for people inside your organisation. Keep it short: your dates away, who to contact and how urgent things should reach you.
Add a separate, simpler message for senders outside your organisation if you want them to see it too.
Save your changes. Outlook starts sending the reply straight away, or at the scheduled time you picked.
Open Teams and look at your profile picture. Within a few minutes it should show Out of office, with your status note matching your dates.
If Teams has not changed, set it by hand in Teams under Settings, then General, then Out of office, using the same dates.
Tips and common mistakes
Teams only picks up the status when Outlook and Teams use the same Microsoft 365 work or school account.
Give it a few minutes, then restart Teams if your status still shows as available.
Always set an end date so replies stop sending once you are back at your desk.
Keep personal phone numbers and travel details out of the message for outside senders.
Questions
Does Teams automatically show out of office when Outlook automatic replies are on?
Yes, for a Microsoft 365 work or school account. Teams reads the same mailbox setting, so your status changes within a few minutes of saving the Outlook reply.
Can I set out of office in Teams only?
Yes. Go to Settings, General, Out of office in Teams and add your dates and message there. This does not create an Outlook automatic reply, so people emailing you will not get one.
Why is my Teams status still showing as available?
Check that both apps use the same account and that the automatic reply is actually switched on with dates covering today. Setting the status directly in Teams fixes it in most cases.
