How to set up an automatic reply in Outlook Classic

Set an out of office reply in Outlook Classic so anyone who emails you gets an instant message while you are away. It suits anyone with a Microsoft 365 or Exchange work account on the desktop app. You can schedule a start and end time, and write separate messages for colleagues and outside senders.

What you need

Steps

  1. Open Outlook Classic on your computer and sign in to the account you want to set the reply for.

  2. Click File in the top left corner, then choose Info in the left column.

  3. Click Automatic Replies (Out of Office). If you only see Automatic Replies, that works too.

  4. Select Send automatic replies to switch the feature on.

  5. Tick Only send during this time range, then set the start date and time and the end date and time for your absence.

  6. Type your message in the Inside My Organization tab. Include the dates you are away and who to contact instead.

  7. Click the Outside My Organization tab and write a shorter version for people outside your company, then click OK.

  8. Send yourself a test email from another account to check the reply arrives as expected.

  9. When you are back, return to File, Info, Automatic Replies and select Do not send automatic replies.

Tips and common mistakes

Keep the inside message short: your return date, who to contact and how urgent items are handled.

Use the scheduled time range so the reply turns itself off even if you forget on your first day back.

Write a plain outside message without internal names or phone numbers you would not share publicly.

If the Automatic Replies button is missing, your account type may not support it, so try Outlook on the web instead.

Questions

Will the reply go to everyone who emails me?

Yes, once it is on, Outlook sends the automatic reply to each sender, usually once per sender. Your outside message can be different from the one your colleagues see.

Can I use this with a personal Outlook.com account?

Automatic Replies in Outlook Classic needs a Microsoft 365 or Exchange account. For a personal mailbox, use the automatic reply setting in Outlook on the web.

Does the reply stay on after I return?

Only if you leave it on. If you set the date range it stops on its own, otherwise turn it off manually in File, Info, Automatic Replies.
