How to build a free Invoice Template in Google Sheets

Build a reusable invoice in Google Sheets with line items on one tab and a clean invoice layout on another. Formulas handle subtotal, tax and total, and a status dropdown tracks Draft, Sent and Paid. It suits freelancers and solo operators who invoice a handful of clients each month.

What you need

Steps

  1. Open Google Sheets and create a blank spreadsheet. Name it Invoice Template. Add a second tab and call the first Line Items and the second Invoice.

  2. On the Line Items tab, add column headers: Description, Quantity, Unit Price and Amount. In the Amount column, enter a formula that multiplies quantity by unit price for each row.

  3. On the Invoice tab, add your business name, address and contact details at the top. Add fields for client name, invoice number, issue date and due date.

  4. Place a table for line items on the Invoice tab. Pull descriptions, quantities and prices from the Line Items tab with cell references so the two tabs stay in sync.

  5. Add a Subtotal row and use SUMPRODUCT to multiply each quantity by its unit price and sum the results. Add a Tax row that multiplies the subtotal by your tax rate, then a Total row that adds subtotal and tax.

  6. Add a Status cell with a dropdown set to Draft, Sent and Paid. Use conditional formatting to give each status a different fill color so unpaid invoices stand out.

  7. Enter a few test line items and check that subtotal, tax and total match your own calculation. Fix any formula that pulls the wrong cell or returns an error.

  8. When the numbers look right, go to File, Download and choose PDF. Set the export to the current sheet and check the preview before saving.

Tips and common mistakes

Lock the formula cells or protect the sheet so a stray keystroke does not break the math.

Keep invoice numbers in a simple running sequence and never reuse one, even for a corrected invoice.

Save a copy of the blank template before your first real invoice so you always have a clean version.

Check the PDF preview for cut-off columns before you email it to a client.

Questions

Do I need to pay for Google Sheets?

How do I reuse the template for each new client?

Make a copy of the file for each invoice, or clear the line items and change the invoice number and client details on the same file.
