What you need
Steps
Write the date at the top right of the page, spelling the month in full, for example 11 April 2024.
Below it on the left, add your manager's name, job title, company name and company address, one line each.
Add a subject line in the centre: Resignation Letter, or Resignation - followed by your job title.
Open with Dear Mr Sharma or Dear Ms Patel, using the surname and the correct title.
In the first sentence, state clearly that you are resigning from your post of job title, and give the date of your last working day.
Add one or two sentences thanking your manager and the company for the chance to work and learn there.
Offer to hand over your work, train a colleague or finish pending tasks before you leave.
Close with Yours sincerely, leave a space, then sign your name and print your full name and designation below it.
Read it once for spelling and dates, then hand it over in person or send it as a PDF attachment.
Tips and common mistakes
Keep the letter to one page and stay neutral, since complaints in writing can follow you to a reference check.
Check your contract for the notice period before you name a last working day.
Save a copy or a photo of the signed letter as proof of the date you resigned.
Address it to your direct manager by name, not to the company in general, so it reaches the right person.
Questions
How much notice should I give?
Use the notice period written in your contract or offer letter. If it says 30 days, count forward from the date you hand in the letter and put that exact date in the letter.
Can I send the resignation by email instead of paper?
Yes, many companies accept it. Use the same format in the body of the email, attach a signed PDF copy and keep the sent mail.
Do I have to say why I am leaving?
No. A short line about a new opportunity or personal reasons is enough. You do not owe a detailed explanation.
