What you need
Steps
Check your contract or staff handbook for the notice period you must give, such as two weeks or one month. Use it to work out your last working day before you write anything.
Put today's date at the top left of the page. Below it, add your manager's full name, job title and the company address.
Open with a clear line: say you are resigning from your position and state your final working day. Keep this first sentence direct and easy to find.
Give your reason in one sentence, such as personal commitments, family matters or relocating. You do not need to explain further or give proof.
Offer to help with the handover. List the tasks you will finish and say you are willing to train a colleague before you go.
Add one or two sentences of thanks for the time you worked there. Mention something you learned or a project you enjoyed.
Close with "Yours sincerely", leave space for your signature, then type your full name underneath. Send a copy to HR as well as your manager.
Tips and common mistakes
Keep the whole letter to one page, because a short letter is harder to misread or argue with.
Do not criticise your manager or the company in writing, even if the reason for leaving is a bad one.
Save a copy of the signed letter and the date you handed it in, in case of a dispute later.
Give the letter in person or by email, and ask HR to confirm your last day and final pay in writing.
Questions
Do I have to say why I am leaving?
No. You can write "for personal reasons" and stop there. A single short sentence is enough, and your employer cannot demand details.
Should I give the letter to my manager or to HR?
Hand it to your manager first, since they need to plan cover. Send a copy to HR so your file and final pay are updated.
How much notice should I give?
Follow the notice period in your contract or handbook. If it says one month, your last day is one month after the date you hand in the letter.
