How to use the iPhone Notes app to scan, record and lock notes

The iPhone Notes app does far more than store text. You will learn to scan paper documents, record audio into a note, build a linked index, do quick maths, lock private notes and share one with other people. It suits anyone who wants a free, built-in alternative to extra productivity apps.

What you need

Steps

  1. Open a new or existing note and tap the camera icon in the toolbar. Choose Scan Documents, hold the phone over the page until it turns blue, then tap Save.

  2. To add sound, tap the attach icon and choose Record Audio. Tap the red button to record, tap Stop when you finish, then tap Insert to drop the clip into the note.

  3. Build an index by creating a new note and typing a list of your main topics. Link each line to its own note so the index becomes a single place to jump from.

  4. Format a line as a header by tapping the Aa button and choosing Heading. Headers split long notes into sections you can collapse and hide when you only need part of the page.

  5. Link to another part of your notes by typing a note title and picking it from the suggestions. Tap the link to jump straight to that section instead of scrolling.

  6. Run quick calculations by typing the sum in a note, such as 45 times 12, and the answer appears as you finish the line. No calculator app needed.

  7. Lock a private note by tapping the three dots, choosing Lock, then setting a password or using Face ID. Locked notes ask for that every time you open them.

  8. Share a note by tapping the share icon, choosing Collaborate and sending the invite through Messages or Mail. Set whether people can edit or only view before you send it.

Tips and common mistakes

Set the lock password hint to something only you understand, since anyone with your phone can see it.

Scan in even light and hold the phone flat, or the camera will keep asking you to retake the page.

Keep your index note short and link out to detail notes, so it stays useful as your notes grow.

Check the scan before you save it. Pages shot at an angle are hard to read later.

Questions

Does scanning in Notes cost anything?

No. Scanning, recording audio and locking notes are built into the free Notes app on the iPhone. You only pay if you choose to buy extra storage for iCloud.

Where do scanned documents go?

They save inside the note you scanned them into, and sync to your other Apple devices if iCloud is on for Notes. You can share the scan as a PDF from the same note.

Can other people see a note I locked?

No. A locked note stays closed until someone enters the password or passes Face ID on your device.
