What you need

Steps

  1. Open your workspace and turn your main page into a dashboard. Add linked views of your key databases so tasks, notes and projects sit on one screen.

  2. Switch a page to presentation mode when you need to show it to others. It hides the sidebar and menus so the content fills the screen.

  3. Open the Library to find your saved templates and pages in one place. Use it instead of hunting through the sidebar for reusable layouts.

  4. Move old pages into Archive Pages rather than deleting them. They stay searchable but drop out of your main sidebar.

  5. Use breadcrumb navigation at the top of a page to jump back to a parent page. Click any crumb in the trail to go straight there.

  6. Add an H4 heading for small sub-sections inside a page. Type the heading shortcut and pick H4 from the block menu.

  7. Add a Rollup property to a database to pull values from a related database. Pick the relation, the property to roll up and how to calculate it.

  8. Turn on Contrast Mode in settings if the default colours are hard to read. It darkens text and borders for clearer pages.

  9. Insert a Tabs Block to group related content on one page. Add each section as a tab so readers click instead of scrolling.

  10. Customise a database view by changing visible properties, filters and sort order, then save it as a new view.

Tips and common mistakes

Archive pages instead of deleting them so you can restore old work later.

Name each database view by its purpose, like This Week or By Client, so you can find it fast.

Keep tabs to three or four per block or readers lose track of what is hidden.

Rollups only work after you set up a relation property between the two databases.

Questions

Do I need a paid Notion plan for these features?

Most of these are standard workspace features. Check your plan settings if a block or view is greyed out.

Will these changes break my existing pages?

No. New views and blocks sit alongside your current layout, and archived pages can be restored at any time.

What is the difference between a rollup and a relation?

A relation links two databases together. A rollup then reads a property from the linked page and shows it in your current database.
