What you need

Steps

  1. Open the template and make your own copy so the original stays blank. In Google Sheets choose File then Make a copy; in Excel use Save As.

  2. Go to the Setup or January tab and enter your starting balance, currency and the categories you actually spend on. Delete any categories you never use.

  3. Fill in projected income and expenses for each month. Use your regular pay and known bills so the plan reflects a normal month.

  4. Record actual income and expenses as money comes in and goes out. Update this weekly so the numbers stay close to real life.

  5. Add each savings goal and the amount you plan to put aside. Log deposits so the tracker shows your running total.

  6. Enter credit card balances and payments in the credit card section. This keeps debt payments visible next to your monthly spending.

  7. Fill in the bills calendar with due dates and amounts. Set a reminder a few days before each one so nothing is paid late.

  8. Check the dashboard to compare projected against actual spending. Use it to spot categories that are over or under budget.

Tips and common mistakes

Update actuals at least once a week; a month of unrecorded spending is hard to rebuild from memory.

Keep category names identical across tabs so the dashboard totals pull correctly.

Leave a small buffer in projected expenses for one-off costs like car repairs or gifts.

Questions

Can I use this in Excel instead of Google Sheets?

Yes. The same tabs and formulas work in Excel, though some formatting and dropdowns may look slightly different after import.

Do I need to fill in every month at once?

No. Set up January fully, then copy the structure forward and adjust each month as bills and pay dates change.

What if my income changes month to month?

Enter a realistic low estimate in projected income and log the real figure in actual income when you are paid.
