How to manage a client's Gmail inbox as a virtual assistant

This guide shows you how to take a messy client inbox and turn it into a clean, labelled Gmail system. It suits virtual assistants and anyone managing someone else's email. The client must first grant you delegated access to their Gmail account.

What you need

Steps

  1. Ask the client to open Gmail Settings, go to Accounts and Import, and click Add another account under Grant access to your account. They enter your address, and you accept the email invite.

  2. Work through the inbox in batches. Archive mail you may need later, delete obvious junk, and unsubscribe from newsletters you never read instead of deleting each issue.

  3. Open Settings, choose Labels, and click Create new label. For subfolders, tick Nest label under and pick the parent label, such as Clients or Finance.

  4. Select emails and use the Label icon or drag them onto a label name. Star messages that need a reply today so they stand out.

  5. In Settings, open See all settings, General, and scroll to Signature. Create a signature with the client's name, role, phone, and links added with the link icon.

  6. Go to Settings, Filters and Blocked Addresses, and click Create a new filter. Enter the sender or subject, then choose Apply the label and Skip the Inbox.

  7. Turn on Templates under Settings, Advanced. Compose a reply, click the three dots, choose Templates, then Save draft as template and give it a name.

  8. Write your email, click the arrow beside Send, and choose Schedule send. Pick a date and time, then confirm. Use Undo Send right after sending to fix mistakes.

  9. In Settings, General, turn on Vacation responder, set the first and last day, write a short message with a backup contact, and save.

  10. Use search operators like from:, subject:, has:attachment, and newer_than:30d in the search bar to find messages fast.

Tips and common mistakes

Colour-code labels so urgent categories stand out at a glance.

Never delete a client's emails without written permission, because Trash empties after 30 days.

Unsubscribe in batches once a week so newsletters stop coming back.

Check with the client before changing their signature or filters, since delegation gives you wide access.

Questions

How do I schedule an email in Gmail?

Compose the email, click the arrow next to Send, and choose Schedule send. Pick the date and time, then confirm. Scheduled messages sit in the Scheduled folder until they go out.

Can I open a client's Gmail without their password?

Yes. The client grants delegated access from their Gmail settings, and you accept the invite from your own account. You never need their password, and they can revoke access at any time.

What is the difference between archiving and deleting?

Archiving removes a message from the inbox but keeps it in All Mail. Deleting moves it to Trash, where Gmail permanently removes it after about 30 days.
