What you need

Steps

  1. Open the email with the PDF attached and tap the attachment once so it downloads and shows a preview.

  2. Tap the Share button, choose Save to Files, pick a folder you will remember and tap Save.

  3. Open the saved PDF in the Files app and tap the markup pen icon at the top of the screen to open the Markup toolbar.

  4. Tap the first form field and type your answer. Tap the next field and repeat until the form is done.

  5. Tap any checkboxes so a tick appears. If a field is not detected, tap the plus button and add a text box instead.

  6. To sign, tap the plus button in the Markup toolbar and choose Signature.

  7. Sign on the line with your finger or Apple Pencil, or tap a saved signature, then tap Done.

  8. Drag the signature onto the correct line and resize it with the corner handles so it sits neatly.

  9. Tap Done to save the changes into the PDF file.

  10. Go back to the email, hit Reply, attach the filled PDF from Files and send it back.

Tips and common mistakes

Save your signature once in the Markup Signature menu so you can drop it into future forms in two taps.

Rename the finished file with your name and the form name before sending so the recipient can find it.

If a scanned form has no typeable fields, add text boxes with the plus button and line them up with the printed lines.

Check the finished PDF by scrolling through every page before you reply, in case a signature landed on the wrong page.

Questions

Do I need to install an app to do this?

No. The markup tools built into Mail and Files handle typing and signatures, and iPadOS 18 and later also has a Preview app.

Where does the signed file go after I tap Done?

The changes save into the same PDF in Files. Send that copy back rather than the original attachment.

Can I sign with a saved signature instead of drawing it each time?

Yes. Open the Signature menu in Markup and save one with your finger or Apple Pencil, then tap it whenever you need it.
