Steps
Open Google Sheets and create a blank spreadsheet. Name it Invoice Template so you can find it later and reuse it for each client.
In the top rows, type your business name, address and contact details. Leave a clear block for the client name, address and invoice date.
Add an invoice number cell and a due date cell. Use a formula like =invoice date + 30 so the due date fills in automatically.
Set up column headers for Description, Quantity, Unit Price and Line Total. Add around 10 empty rows so you have room for items.
In the Line Total column, enter =Quantity * Unit Price for each row. Copy the formula down so every line calculates itself.
Add rows for Subtotal, Discount, Tax and Total. Subtotal sums the line totals, tax multiplies the discounted subtotal by your rate, and Total adds them up.
Format the money cells as currency and add borders or shading to the header row. Save the file so the template stays ready for next time.
Go to File, then Download, then PDF to save a print-ready copy. Check the preview before sending it to your client.
Tips and common mistakes
Make a copy of the template for each new client instead of typing over your master file.
Double-check that every line-total formula points to the right quantity and price cells before you send.
Keep your tax rate in its own cell so you can update it once and have the whole invoice recalculate.
Questions
Can I reuse the same sheet for every client?
Yes. Keep one master template and use File, then Make a copy for each new invoice so your formulas stay intact.
How do I make the due date change automatically?
Point the due date cell at the invoice date cell and add your payment terms, such as 30 days, in the formula.
Will the PDF look the same as the sheet?
Mostly. Set your print area and page size first, then check the PDF preview before sending.
