What you need

Steps

  1. Sign in to Notion and create a new page from the sidebar. Give it a clear name like Workspace and make it your home page.

  2. Inside the page, type a slash to open the block menu. Add headings, bullet lists and to-do blocks to see how blocks stack and move.

  3. Create a new page for tasks. Type /database and choose Table, then name the columns Task, Status, Due date and Project.

  4. Set the Status column to a Select property with options like Not started, In progress and Done. Add a few real tasks as rows.

  5. Make a second database page for projects. Add columns for Project name, Status, Deadline and Owner, then fill in your current projects.

  6. In the task database, add a Relation property and link it to the project database. Now each task can point to its project.

  7. Add a Calendar view to the task database and set it to show the Due date property. Drag tasks onto dates to plan your week.

  8. On your home page, add linked views of both databases so tasks and projects sit in one place. Filter tasks to show only what is not done.

  9. Sort the task view by Due date and group it by Status. Check the board once a day and move tasks as you finish them.

Tips and common mistakes

Start with two databases only. Adding more before you use them makes the system hard to keep up.

Use the Relation property so a task can show its project, then roll up the project deadline if you want it visible.

Keep one home page with linked views instead of copying databases, so edits stay in sync.

Name properties the same across databases, like Status and Due date, to make filters and sorting simpler.

Questions

Do I need to pay for Notion to do this?

No. The free personal plan covers pages, blocks and databases, which is all this setup uses.

What is the difference between a page and a database?

A page holds blocks like text and headings. A database is a page that stores rows of items with properties, such as tasks with status and due dates.

Can I use this on my phone?

Yes. The Notion mobile app shows the same pages and databases, though building the setup is easier on desktop.
