How to set up a subscription tracker in Google Sheets

You will build a Google Sheet that lists every subscription you pay for, converts the costs to a monthly figure, and shows what you could save by cancelling. It suits anyone juggling more than a couple of recurring charges. You only need a Google account and your last few bank statements.

What you need

Steps

  1. Open Google Sheets at sheets.google.com, click Blank spreadsheet, and rename the file Subscription Tracker. Add a second tab for the log and a third for the dashboard.

  2. In the log tab, label your columns: Service, Cost, Billing cycle, Renewal date, Payment method, Keep? and Notes. Freeze the top row so the labels stay visible.

  3. Add one row per subscription with the exact amount charged and whether it bills monthly or yearly. Use the same date format in every renewal date cell.

  4. Create a Monthly cost column with a formula that divides yearly prices by 12. This lets you compare every subscription on the same basis.

  5. Build an overview block that sums the monthly cost column and multiplies the result by 12 for your yearly total. Place it above or beside the log.

  6. Mark each row Yes or No in the Keep? column. Then use SUMIF to total the monthly cost of the No rows, which is your potential saving if you cancel them.

  7. Select your header row, open Data and choose Create a filter. Filter Keep? to No to see cancellation candidates, or filter renewal date to spot charges due this month.

  8. On the dashboard tab, add SUM and COUNTIF formulas for monthly spend, yearly spend, number of subscriptions and the next payment due. Add a chart to see the split by service.

  9. Update the sheet on the first of each month: change any prices, add new subscriptions and delete cancelled ones.

Tips and common mistakes

Enter the amount actually charged, including tax, or your monthly total will drift from your bank statement.

Log annual renewals with the real date so you see the charge coming, not after it lands.

Use the Notes column to record notice periods and the email address each account is tied to.

Sort by renewal date once a month so no payment catches you by surprise.

Questions

Do I need to buy a template for this?

No. A blank Google Sheet with a few columns and SUM formulas does the same job. A ready-made template only saves you the setup time.

How do I track a subscription that bills every three months?

Divide the quarterly charge by 3 to get a monthly figure, or multiply it by 4 and treat it as a yearly cost. Keep the billing cycle column filled in so you remember.

How do I see which subscriptions renew soonest?

Sort the renewal date column from oldest to newest, or filter it to show only dates in the next 30 days.
