What you need
Steps
Open a blank workbook and add columns for Name, Phone, Amount, Date and Message. Enter phone numbers with the country code and no spaces or plus signs.
Write the message in a cell using a formula that joins text and cell references, for example ="Hi "&A2&", your invoice of "&C2&" is due on "&D2.
Build a clickable link with the HYPERLINK function pointing to https://wa.me/ followed by the phone number and?text= followed by the encoded message.
Select your data range and press Ctrl+T to make it a table, so new rows get the same formulas automatically.
Enable the Developer tab, open Visual Basic and insert a module. Paste or write a macro that loops through the table rows and opens each wa.me link.
Add a check column called Sent. Have the macro write a date or Yes in that cell after each message so you can skip contacts already done.
To send files, save the PDF or invoice in a folder and add a column with the full file path. Use the macro to open the file and attach it in the chat.
Run the macro on two or three test rows first. Check that the message text, names and numbers appear correctly before sending the full list.
Tips and common mistakes
Keep messages under 255 characters, since longer text gets cut off in this setup.
This method works only on Windows desktop Excel and only for individual chats, not groups.
Store phone numbers as text so Excel does not drop leading zeros or turn them into formulas.
Sending many messages quickly can get your number flagged, so space out large batches.
Questions
Do I need to install anything to send WhatsApp from Excel?
No extra app is needed for the link method. For one-click sending you need VBA, which is built into Windows desktop Excel.
Can I send to group chats?
No. The wa.me link and the macro open individual chats only, so each contact gets a separate message.
Why does my message show strange characters?
Spaces and symbols in the link must be URL encoded. Use the ENCODEURL function on the message text before adding it to the link.
