How to send Excel due date reminders automatically with Power Automate

Build a scheduled cloud flow that reads an Excel table stored in SharePoint, checks each row's due date, and emails the owner when a date is today or already overdue. It suits anyone with basic Excel skills who has a Microsoft 365 account and can create flows. You need Outlook and an Excel file saved in SharePoint or OneDrive.

What you need

Steps

  1. Open your workbook in Excel and format the data as a table with a date column for the due date and a column holding each person's email address. Save it to SharePoint or OneDrive.

  2. Go to make.powerautomate.com, choose Create, then Scheduled cloud flow. Name it, pick a start date and time, and set Repeat every to 1 Day so it runs daily.

  3. Add the Excel Online (Business) action List rows present in a table. Browse to your file and pick the table you want the flow to read.

  4. Add an Apply to each loop and insert the value dynamic content from the list rows step, so the flow works through every row.

  5. Inside the loop add a Condition. On the left use int(formatDateTime(items('Apply_to_each')?['DueDate'],'yyyyMMdd')) and set it to is less than or equal to int(formatDateTime(utcNow(),'yyyyMMdd')).

  6. In the If yes branch, add the Office 365 Outlook action Send an email (V2). Put the row's email column in To, then write a subject and body that use dynamic content such as the task name and due date.

  7. Save the flow, then run Test with the manually trigger option. Open the run history to check each step passed, and confirm the reminder lands in the inbox.

Tips and common mistakes

Set one test row's due date to today before your first test run so the condition is definitely true.

Column names in the expressions must match your Excel headers exactly, including spaces.

The flow sends an email every day the date is overdue, so add a status column if you want to stop repeats.

Check that your due date column is a real Excel date, not text, or the date expressions will fail.

Questions

Why did my flow skip every row?

The condition is usually the cause. Check that the due date column holds real dates and that the formatDateTime expression uses the exact column name from your table.

Can I send a reminder a week before the due date?

Yes. Change the condition to compare the due date with a date seven days from now, or add a second condition branch for upcoming dates.

How often does the flow run?

As often as you set in the recurrence trigger. Daily at 6 AM is common, and each run checks every row in the table again.
