What you need
Steps
Open the SharePoint library that holds both PDFs. Check you can view each file and that you know the page you want from each one before you start.
Note the exact page numbers. In the demo, page 4 came from a 24-page solution design document and page 2 came from a 5-page project plan.
Open Copilot in SharePoint and write one multi-step prompt. Name the first file and its page, name the second file and its page, and ask for a merged file.
Add the output name to the prompt, such as Executive Briefing, plus the sharing instruction: read-only access for the person who needs it.
Send the prompt and let Copilot work through the steps in order. It extracts the pages first, then builds the new file.
Approve the share when Copilot asks. Nothing is sent to anyone until you confirm, so read the share details before you click approve.
Open the merged Executive Briefing and check the page order. You should see two pages, the extracted one first and the second one after it.
Check the branding and formatting. The merged file should keep the original headings, colours and page styles rather than coming out plain.
Send the read-only link to your reader once the pages and styling look right.
Tips and common mistakes
Give exact page numbers in the prompt, not descriptions like the summary page, so Copilot does not have to guess.
Name the new file in the prompt, otherwise you end up with a generic name you have to rename later.
Always open the merged file before approving the share and check the page order.
Keep the approval step switched on so nothing leaves your account without you seeing it first.
Questions
Do the PDFs have to be in SharePoint?
Yes. This runs through Copilot in SharePoint, so both files need to sit in a SharePoint library you can open. Move them there first if they are only on your desktop.
Can I merge more than two PDFs in one prompt?
The demo used two files and three instructions. You can add more files and pages to the prompt, but keep the wording clear and check the merged output page by page.
Does the merged file keep the original look?
Yes. In the demo the merged file kept the branding and page styles of the source documents, so headings and colours carried over instead of turning into plain text.
