Steps
Stop looking for a folder tree. In Google Photos everything sits in one library, and albums work more like playlists that point at photos. A single photo can appear in several albums without being copied.
Open the Google Photos app and tap Search at the bottom. Type what is in the picture, such as beach, receipt or dog, or tap a face or place that Google suggests.
To group a set of photos, select them, tap the three dot menu and choose Add to album. Name it with a broad label like Garden 2025 rather than something narrow.
Mark the photos you actually use most. Tap the star or heart icon on a picture so it lands in Favourites, which gives you a short list that skips all the searching.
Fix wrong details. Open a photo, tap the three dot menu, then Edit date and time, and set the correct day and location. Search and the timeline rely on this data, not on album names.
Check the Info panel on a photo. You can add a short description there, and that text becomes searchable, which helps for scanned photos or documents.
Keep albums loose and let search do the narrow work. Broad albums plus good metadata beat dozens of tiny folders that you forget the names of.
Tips and common mistakes
Do not re-save a photo into several places to file it twice, since duplicates are harder to manage than albums.
Turn on face grouping in Google Photos settings so you can search by person later.
If an old scan shows today's date, correct it straight away or it will bury itself at the top of your library.
Use the same few album names across years, like Christmas and Holidays, so you know what to look for.
Questions
Why can't I find a photo even though it is in an album?
Albums do not move photos, they only tag them. Search by the date or by what is in the picture instead of browsing album names.
Do albums use extra storage?
No. An album is just a list pointing at photos that already exist in your library, so a photo counts once no matter how many albums hold it.
Does this work in Apple Photos too?
Yes. Apple Photos also uses one library with albums, favourites and search by people, places and objects, so the same approach applies.
