How to build an employee HR dashboard in Excel with pivot tables

Turn a raw employee list into an interactive HR dashboard in Excel. You will build pivot tables, KPI cards, slicers and charts for headcount, attrition and performance. It suits beginners and HR or office staff who can already open Excel and format a table.

What you need

Steps

  1. Open your employee data and check it is one clean table. Each row should be one employee, with a single header row and no blank rows or merged cells.

  2. Select any cell in the data and go to Insert, then PivotTable. Choose New Worksheet so the pivot sits apart from your raw data.

  3. Build the first pivot for headcount. Drag Department to Rows and Employee ID to Values, set to Count. Repeat for status, gender and location.

  4. Create a separate pivot for attrition. Put Status in Rows and count employees, so you can see active versus left.

  5. On a new sheet, add a title bar and navigation buttons or shapes that link to each section. Use Insert, then Shapes, and add hyperlinks to the pivot sheets.

  6. Insert slicers for Department, Gender and Location. Select a pivot, go to PivotTable Analyze, then Insert Slicer, and connect the same slicers to every pivot with Report Connections.

  7. Build KPI cards at the top. Link cells to pivot totals for Total Employees, Active Employees, Attrition and Attrition %. Format the numbers and add a coloured box behind each.

  8. Add charts from the pivots: a column chart for department headcount, a line chart for headcount trend by month, and a pie or bar for attrition by department.

  9. Add the remaining visuals: attrition % by department, active versus attrition headcount, performance rating distribution and employees by location.

  10. Arrange the cards and charts on one sheet, align them, remove gridlines with View, then uncheck Gridlines, and test every slicer.

Tips and common mistakes

Convert your data to an Excel Table first (Ctrl+T) so new rows flow into the pivots when you refresh.

Right-click a pivot and choose Refresh after editing the source data, or the dashboard will show old numbers.

Keep all slicers connected to every pivot with Report Connections, otherwise one chart will ignore the filter.

Use a consistent colour palette and one font size for labels so the dashboard looks professional.

Questions

Do I need Power Pivot or add-ins?

No. Standard PivotTables, Slicers and charts in desktop Excel are enough for this dashboard.

Why do my slicers not change all the charts?

The slicers are probably connected to only one pivot. Use Report Connections to tick every pivot that should respond.

Can I update the dashboard with new data?

Yes. Add rows to the source table, then refresh each pivot and the cards and charts will update.
