What you need

Steps

  1. Open a blank workbook and name the first sheet Budget. Save the file as Personal Budget Tracker so you can find it later.

  2. In row 1, type your headers across columns A to D: Date, Category, Description and Amount. Make them bold.

  3. Add a Type column in E and enter Income or Expense for each row. This lets formulas tell the two apart.

  4. Leave a few rows for your income entries. Put each salary or payment in its own row with a positive amount.

  5. List your expenses below, one row per cost, with the amount as a positive number. Keep the Type column set to Expense.

  6. Below the table, add labels for Total Income, Total Expenses and Savings. Put each label in its own cell.

  7. Use SUMIF to total income: =SUMIF(E2:E100,"Income",D2:D100). Do the same for expenses with "Expense" in place of "Income".

  8. Calculate savings by subtracting total expenses from total income, for example =B12-B13. Format all money cells as Currency.

  9. Add a second sheet called Monthly. Copy the totals there and repeat the layout for each month so you can compare them.

  10. Freeze the header row with View > Freeze Panes and test the sheet by adding one income and one expense row.

Tips and common mistakes

Keep amounts positive and let the Type column decide whether a row counts as income or expense, so your SUMIF formulas stay simple.

Extend the formula ranges past your current data, such as row 100, so new rows are counted without editing the formulas.

Save a copy as a template before you fill it in, so next month you start clean.

Check the totals against your bank statement once a month to catch missed or duplicated entries.

Questions

Do I need to know Excel formulas to build this?

Only two basic ones. SUMIF adds up rows by type and a simple subtraction gives your savings. Both are typed once and then reused.

Can I use this tracker in Google Sheets?

Yes. The same headers and SUMIF formulas work in Google Sheets, so you can copy the layout across if you prefer a free tool.

How many expense categories should I use?

Start with 5 to 10 broad ones like rent, food, transport and bills. Add more only when a category gets too big to read at a glance.
