What you need
Steps
Create a new Google Sheet and add three tabs: Transactions, Categories, and Analysis. Rename the first tab Transactions so you can find it fast.
In Transactions, add columns for Date, Description, Category, Amount, Type, and Bucket. Enter one row for each income or expense as it happens.
On the Categories tab, list every income and expense category you use. Select the Category column on Transactions and add a data validation dropdown from that list.
Create a Bucket column for groups like Needs, Wants, and Savings, or Fixed and Variable. Use XLOOKUP to pull the bucket from the category table automatically.
Add summary rows that use SUMIFS to total income and expenses by category and month. Subtract expenses from income to show your net for the month.
Optional: install the BudgetSheet extension and connect your checking and credit card accounts. Review every imported transaction before you trust the totals.
Build the Analysis tab with monthly totals for each category and a fixed costs section. Use SUMIFS or a pivot table to spot spending trends quickly.
Review your fixed costs each month and adjust category names or buckets when spending changes. Keep the dropdown list and XLOOKUP table in sync.
Tips and common mistakes
Update transactions at least once a week so your totals stay accurate.
Keep category names identical on every tab; XLOOKUP and SUMIFS can return wrong totals if they differ.
Start with 8 to 12 categories and split them only when a spending trend matters.
Check imported transactions for duplicates and transfers before reviewing your monthly net.
Questions
Do I need the BudgetSheet extension?
No. It can speed up imports, but you can enter transactions by hand and still use the same categories, buckets and formulas.
Can I build this budget without formulas?
You can start with manual totals, but XLOOKUP and SUMIFS save time and reduce errors as your transaction list grows.
How often should I update the sheet?
Weekly is enough for most people. Update before you review your monthly spending so the Analysis tab reflects all recent transactions.
